Rover P4 Drivers' Guild's Confidentiality and Privacy Statement For Guild Members

 

 

What information is collected?

Depending on the specific Guild process (membership, rally booking and regalia purchases) the following information is collected:

Name, address, e-mail account, phone number, car details (model, registration number, chassis number, engine number, body colour, interior colour) and regalia item(s).

When using the Guild’s e-commerce service, PayPal will request credit/debit card or PayPal account information to take the required payment. PayPal does not provide this information to the Guild. Paper-based processes will be accompanied by cheques which are passed on to the Guild’s bank for encashment.

What will the information be used for?

Guild membership processes, distribution of Overdrive magazines, maintain Guild archive information (vehicle and owner information), event booking management and regalia purchases. Payment information will also be used by the Guild to manage its revenue stream and bank account. Owner and car information, filtered by region, is provided to Guild Regional Branch Representatives to assist in their local activities.

How and where is it stored?

Information provided by using the Guild website’s e-commerce service (hosted by Web Hosting UK, which is GDPR compliant) is then transferred to the relevant Guild officer. The officer stores the information within password encrypted files on password protected PCs, along with information that is provided by paper-based transactions, e.g. membership applications by post. Any information that is transferred between Guild officers is undertaken using password encrypted files.

Who is it shared with?

Name and address information is provided to the Guild’s printer using password encrypted files for the mailing out of Overdrive magazines. Name and car information is provided to the Guild’s printer for the production of event programmes.

How long information is kept and how is it disposed of?

Membership, event booking and regalia information is stored for 7 years after which electronic information will be deleted and paper-based documentation will be shredded. All other information is deleted/disposed of after 1 year.

Guild archive information is kept indefinitely as part of the history of the Rover P4 range of cars.

The Guild’s printer deletes the mailing list information once the print run of Overdrive magazines has been despatched.
